Brief.

45 minutes · Day 0 · Free

A discovery call. We listen, we ask the questions BSPs skip, and we sketch what we'd build live, on the call. By minute 30 you have a clear picture of the WhatsApp product. By minute 45 you have a number. You leave with something specific you can take to a partner that day.

Design.

~ 1 week · Days 1–7

This is the longest part of most builds — and the one BSPs skip. We design every flow, every template, every message: typography, pacing, button placement, tone. Your input is collected once, deeply, then synthesized into the design. You see drafts in WhatsApp itself — not in a Figma file.

  • Compliance overlay — consent, opt-out, data handling (especially for clinics)
  • Mid-week review call (30 min) — you see live drafts in WhatsApp, give edits

Build.

~ 1–2 weeks · Days 8–21

WhatsApp Business Account verification, template submission to Meta, automation logic deployed on Cloud API, integrations with your existing systems. You don't touch any of this. We submit templates to Meta early and in parallel with design to compress timelines — Meta's review takes 24–48 hours per template, and stacking that into design phase costs nothing extra.

Ship.

Launch day · onward

The WhatsApp product goes live on your verified business number. Your customers start receiving messages and conversations through the flows we built. We stand by for 30 days of post-launch support. Most clients add the Studio retainer at this point — flow updates, broadcast support, analytics — but you can also self-operate with our handover documentation.

Things that lengthen a build

The variables, declared upfront.

Most builds ship in 2–4 weeks. A few things move that window. We surface them on the discovery call so the timeline you walk out with is the timeline that holds.

Meta template approval delays.

Meta reviews every business message template manually. Standard turnaround is 24–48 hours, but during high-traffic periods (major holidays, peak hiring cycles) it can stretch to a week. We submit templates early and structure them to maximize approval rate on the first pass, which usually keeps the impact minimal.

Multi-system integrations.

Connecting WhatsApp to one existing system (CRM, scheduler, or ERP) is part of the standard Build tier. Connecting to multiple systems with cross-syncing logic adds 3–5 days and may shift the build into the Custom tier depending on complexity. We tell you upfront.

Compliance-heavy industries.

Clinics, financial services, and education with under-18 contact data have additional design overhead — consent flows, opt-outs, data minimization, audit logging. This adds about a week to the standard build. We handle it as part of the work; we just need the time.

AI-generation product builds.

Custom builds with AI generation flows take 4–6 weeks. The longer timeline is because generation quality calibration, edge-case handling, and output design need iteration cycles that standard automation flows don't.

What we don't do

The things not in our process.

Studios are defined as much by what they refuse as by what they do. A few things we explicitly skip.

Generic discovery decks.

We don't send a 40-slide PDF after the call. The discovery call is the deliverable for step one. You leave with a scope, a price, and a sketch.

No

Endless requirement gathering.

We don't ask for a 20-page brief. We learn enough in 45 minutes to design something specific. If we need more, we ask once, in writing, with a hard list.

No

Industry templates with your name swapped in.

Every flow we ship is designed for your business, not adapted from a generic vertical template. Even when two clinics look similar, the operations are different. The design reflects that.

No

Hidden costs at handover.

The number we quote on the call is the number on the invoice. If scope changes, we re-quote transparently before the work starts, not after. Surprise charges are how trust dies.
